Frequently Asked Questions Everything you need to know about becoming a Bayou City Art Festival Volunteer!

BCAF Volunteerism 101

We count on exceptional volunteers to help us host a beautiful event for the Houston

Community. Before you register, please read the following guidelines to keep in mind for

your volunteer experience!

  1. Arrive to your shift EARLY. We encourage volunteers to plan ahead for parking and traffic delays. We count on you as a volunteer to fulfill your commitment and be punctual.  
  2. Please stay for your ENTIRE shift. We rely on you to work a full shift so that all areas of the festival are covered at all times. If there is an emergency, please contact a Volunteer Committee Member or staff personnel.  
  3. There are absolutely NO children under the age of 16 allowed to volunteer. Children under the age of 12 are admitted to the festival at no charge.  
  4. Remember to bring a hat and sunscreen.  
  5. You must sign out by returning to Volunteer Check-In at the end of your shift.  You are welcome to stay and enjoy the festival once your shift ends, but you must sign out first.  
  6. Additionally, we ask that you remove your Volunteer T-shirt once your shift ends. This is mainly to avoid confusion among our staff and artists to ensure that everyone wearing a Volunteer T-shirt is actually volunteering.  
  7. There will be water and snacks available at Volunteer Check-In. There will also be Volunteer Committee Members monitoring the festival to make sure volunteers have relief when they need it. 
  8. Remember to keep in mind that volunteering at our festival requires a good amount of standing and moving. Please remember to wear the appropriate clothing to stay cool and comfortable.  
As an event, we always strive to make your volunteer experience as enjoyable as possible. We are always open to your feedback and strive to improve our program with each festival!

Saturday, October 8, 2011  10AM-7PM 

Sunday, October 9, 2011  10AM-6PM

 

Where does the festival take place?
Downtown Houston, in front of City Hall and around Hermann Square on the streets of Walker, Bagby,and McKinney, as well as Sam Houston Park

 

Where do volunteers park?
It is recommended that volunteers park at either of the below locations, as these are located closest to volunteer check-in:

 

Heritage Clay Street Garage - 1204 Bagby St, Houston, TX, 77002

 

Central Parking System - 333 Clay St, Houston, TX, 77002

*Due to the fact that we are a nonprofit organization raising funds for neighboring nonprofit service organizations, we are unable to finance parking for volunteers. Please note that city parking fees apply. Please also note that street parking on Sunday is free to the public.
 

 

What is the schedule of shifts?

Shift 1 9:00AM-1:00PM

Shift 1 - 8:30AM-1:00PM  *shift begins ½ hour earlier due to accessibility hour
Shift 2 - 12:00PM-4:00PM
Shift 3 - 2:30PM-6:30PM

 

*Anyone wishing to volunteer for more than one shift is welcome to do so. However, you MUST remember to sign-in for each shift that you work.  We ask that volunteers report 15 minutes early for their scheduled shift(s).   

 

What types of volunteer opportunities / activities are there?

Ticket Taker        

Take admission tickets from patrons at the entrance gate. You will be given pocketed smocks and a box to place collected tickets. This position has direct exposure to sunlight. Please remember to bring a hat and sunscreen!
 
Greeters              
Volunteers greet and hand out festival maps as patrons enter the gate. This position has direct exposure to sunlight. Please remember to bring a hat and sunscreen!
 
Artist Relief       
Provide relief to artists, eg- hand out beverages, snacks, booth sit (when applicable).
 
Festival Market Booth   
You will be selling festival t-shirts, posters, and hats. Some basic training will be given at beginning of shift.
 
Coupon Booth  
You will be selling food and drink coupons to patrons. This is fun and fast-paced!
 
Patron Art Pick-Up           
Volunteers will monitor artwork being held after purchase and assist with loading artwork into patron's vehicle. You must be 21 years old to work this position.
 
VIP Lounge         
Monitor VIP area, check guest wristbands, assist with food and drink service.
 
Stage Runner     
Assist with performances and performers at the Houston Arts Alliance Stage
 
Volunteer Relief               
Monitor volunteers throughout the festival and ensure they have relief, water, etc. as needed.

 

Creative Zone

Art League Houston - Harvest Pins! Create a colorful corsage inspired by the fall season.

Other Creative Zone activities coming soon!

 

Please note:   Bayou City Art Festival reserves the right to assign volunteers to the area of greatest need at the time of volunteer check-in. Volunteers may also be moved to a different assignment during their shift depending on areas of need. 

  

Where is Volunteer Check-In and how do I get there?

Volunteer Check-In is located in front of the Heritage Society across from Entrance Gate #1 at Lamar and Bagby.


 What will happen at Volunteer Check-In? 
  • Sign-In with a Volunteer Committee Member
  • If you're under 18 you'll hand in the Waiver you brought with you.
  • If you're part of a large group of underage volunteers, we will check to make sure you have a chaperone 21 or older present for every 5 minors, and that ALL members of the group are present.
  • Receive your Volunteer T-Shirt
  • Receive your shift assignment

Ready to sign-up?

  • You will be given the option to register with either Art Colony Association, the parent organization for the festival, or one of our Nonprofit Partners. We need the most help in the ALH Creative Zone, so make sure that you choose one of the Creative Zone shifts.
  • Remember to fill out all required fields.
  • Once your registration is complete, you will log-in with the email you provided along with the temporary password you are given.
  • When logged in, click "Calendar" on the top-left side of the page to view schedule of shifts. Select your shift and receive your confirmation!

Art submission deadline extended to 6 p.m. - TUESDAY, August 9th!

We have extended the deadline to the day of jury selection. Please note, all artists and galleries who submit will be included on our web site (onahouston.org) and featured in the event program at the Art Auction, as well as given credit in the Oscar Night America Gala program in February for their generosity.

We appreciate all you do for the American Cancer Society, and we hope you will join us at the event, August 25th.

CALL FOR ARTISTS - donations of works

About a Room with a View: A Room with a View is a Happy Hour and Art Auction that gives artists an opportunity to showcase their work while contributing to the mission of the American Cancer Society. Artists will be appreciated that evening, and recognized again for their contributions at Oscar Night America in February.

ENTRY ELIGABILITY & REQUIREMENTS
o Artwork must be donated in full, no commissions accepted
o Artists may submit up to 3 works to be juried, and there is no fee to submit
o Work must be assigned a value by the artists. Only works valued between $100 and  $500 will be accepted
o The value assigned to the work will be the value given for tax purposes to the artist.
o A Room with a View committee reserves the right to assign the starting bidding price. No starting bid will begin higher than $300.
o Maximum size of works is 36" x 48"
o The American Cancer Society does not assume liability for work while in our possession

HOW TO SUBMIT
o Complete all of the information on the entry cards(s) You can submit 1, 2 or 3 pieces  per artist
o Copy the filled out entry cards and attach one to each identifying sheet to the correponding work
o Submit the original entry card as whole sheet when turning in artwork.
o Bring artwork to the American Cancer Society at one of the specified times!

Only artists who have work accepted for exhibition will be notified by Monday,  August 15th. If you are not contacted by 5 PM on Monday, August 15 your work was not accepted for exhibition and you must pick it up from the American Cancer Society. ACS will not be responsible for work not picked up on the designated pick up dates.

The American Cancer Society is a nationwide, community-based voluntary health organization dedicated to eliminating cancer as a major health problem. DetermiNation is the American Cancer Society's endurance program that will train you for the Houston Marathon and half-marathon while you fundraise to fight cancer.

 

Essentially, friends and family of participants support their efforts to compete in an event by making donations in their name. The American Cancer Society has always been involved with the Houston Marathon as a charity of choice for people contribute to, but 2012 will be the first year that Determination will provide training for Houston and a higher commitment of fundraising in the community.

 

YOUR ENTRY CAN STILL BE RESERVED THROUGH THE AMERICAN CANCER SOCIETY

Commit to fundraising a minimum of $1,250 to fight cancer and Run for a Reason.

 

BENEFITS of the DETERMINATION:

·      Train with a group! You can join our running group and receive a recommended weekly training schedule and weekly group long runs on Saturday mornings – coached by certified professionals and experienced coaches

·      A personalized Fundraising web page the help you earn donations for your efforts while allowing you to update friends and family on your progress and accomplishments
